Managing Procurement and Purchase Orders

Purchase Orders help you replenish inventory and purchase products required for outstanding customer requests.

You can create purchase orders in three ways:

  • From the Purchase Order Tab, when you want to create a new PO.

  • From the Stock Catalog, when you want to proactively replenish inventory.

  • From the Procurement Queue, when a product requested through a ticket or sales order cannot be fulfilled from current stock.

Creating a Purchase Order

  1. Navigate to Modules > Inventory Management > Purchase Orders > Create PO

2. Give the purchase order a name and specify the shipping details.

3. Add the required stock items to the purchase order, then click Save.

4. Click Change Supplier if you want to source the items from a different configured supplier.

5. You can view all purchase orders organized by status in the All tab and mark them as Received or Sent right from this page.

Creating a PO from the Procurement Queue

The Procurement Queue consolidates items that could not be fulfilled from existing inventory.

  1. Go to Modules > Inventory Management > Purchase Orders > Procurement Queue

  2. Select the products you want to procure and click Create Purchase Order.

3. Review the supplier, quantities, pricing, and delivery details and add any additional products if required.

4. Save the purchase order as a draft or send it to the supplier.

Creating a PO from the Stock Catalog

  1. Open a product from the Stock Catalog.

  2. Click + Create PO.

3. Review the pre-populated supplier, product, quantity, and unit price, and hit Save.
