Creating and Managing Sales Orders in SuperOps

Learn how to easily convert quotes to sales orders, manage fulfillment, and track items in SuperOps.

Sales Orders help you turn approved quotes into work that can be tracked, assigned, and fulfilled in a structured way.

Instead of jumping directly from Quote to Invoice, Sales Orders add an operational layer in between. This gives your team a clear record of what was sold, what still needs to be delivered, who is responsible for fulfillment, and which items are complete.

This is especially useful when approved quotes involve multiple products or services that need to be delivered over time, assigned to different team members, or linked to tickets and projects before billing.

Converting a Quote to a Sales Order

To begin your fulfillment process, you will first need to convert an approved quote.

  1. Open an approved Quote in SuperOps.

  2. Click Convert Sales Order in the top-right corner.

3. Upon conversion, you will be automatically redirected to the newly created Sales Order details page. Here, you can review the comprehensive list of products and services, as well as track the overall fulfillment progress.

Assigning the Sales Order

To ensure clear accountability, you can easily assign the sales order to a specific member of your team.

  1. Please click the Assigned To dropdown menu in the upper right section of the details pane to select a technician from the list.

Auto-assign new Sales Orders

If the same technician should handle all newly created Sales Orders, you can set that up from the Sales Order list view.

  1. Navigate to Sales Order list view > Click Auto Assign > Select the technician you want to assign.

Once enabled, that technician will be automatically assigned to every new Sales Order created going forward.

Fulfilling Individual Line Items

Sales Orders let you track fulfillment at the line-item level.

This matters because not every item in an order is always completed at the same time. A customer may approve a quote containing multiple products and services, but your team may deliver them in stages.

  1. To mark a specific product or service as fulfilled, click the checkmark icon on the left side of that row.

2. If all items in the Sales Order have been completed, you can mark everything as fulfilled in one go by clicking the Mark as Fulfilled icon in the top-right corner.

3. As you fulfill items, you will notice the progress bar at the top of the page automatically updates to reflect the current status.


📝Note: Line items cannot be edited from the Sales Order. To make changes, revise the Quote, get the revised Quote approved, and then create a new Sales Order from that approved version.


Line Item Actions:

You can also take actions either for individual line items or for the order as a whole. This includes,

  • Creating a ticket/project

  • Associating with an existing ticket/project

  • Creating a contract

  • Generate an invoice


📝Note: When a line item is linked to a ticket or project, invoicing for that item is available only from the Sales Order page. It cannot be generated from the Quote, the associated ticket, or the project.


Any ticket, project, or invoice you associate is reflected directly within the Sales Order, giving your team clear visibility into how each item is being delivered. You can also remove an association at any time if updates are needed.

Add and review internal notes

Sales Orders include a notes panel for internal collaboration.

Use this space to document fulfillment updates, handoff notes, dependencies, or any context your team needs while working on the order.

Sales Orders can also be canceled when they are no longer valid. If the order needs to be resumed later, you can reactivate it at any time.

Once all line items are marked as fulfilled, the Sales Order is automatically marked with a FULFILLED status.

Converting a ticket to a quote:

Sometimes what starts as a support ticket evolves into a billable piece of work. Technicians can convert a ticket directly into a quote, keeping the full context of the original request intact and making it easy to move into the Sales Order workflow from there.


📝Note: If your team uses an external CRM, you can integrate it with SuperOps using our APIs or Zapier.

This allows your quoting and sales workflows to stay connected, instead of operating in separate systems. Your team can continue working in the tools they’re familiar with, while still maintaining clear visibility into service delivery and fulfillment within SuperOps.
