SuperOps gives you complete control over the information displayed on invoices and quotes. While default fields capture standard billing details, custom fields allow you to track internal data or client-specific requirements tailored to your business needs.
What are default invoice fields?
SuperOps provides two default fields that are always available in invoices:
Payment Terms – Defines when the client is expected to make the payment.
Payment Methods – Specifies how you prefer to receive payments.
📝Note: Default fields cannot be deleted. However, you can add multiple options under each to fit your billing preferences.
What are custom invoice and quote fields?
Custom fields let you capture additional information not covered by the default fields. These can be used for internal tracking, specific client requirements, or additional notes.
To create a custom field,
Go to Settings > Manage Fields > Create
2. Choose a field type and provide a name and description.
3. Preview how the field will appear in invoice/quote PDFs.
4. Click Save when done.
⚠️Important:
You can create up to 10 custom fields, shared across both invoices and quotes.
Only text type is currently supported.
5. You can edit, delete, and deactivate custom fields at any time.
How to add fields to invoice and quote templates?
To add your custom fields to an invoice/quote template,
Go to Settings > Quote and Invoice settings > Customize quote/invoice settings
2. Select the custom fields you want to include in the PDF template.
💡Things to Remember:
You can add up to 3 custom fields to the template (this includes both invoice/quote and client fields).
Client custom fields are auto-filled based on the client selected and cannot be edited in the invoice.
Invoice custom fields can be entered manually during invoice creation and updated even after the invoice is sent.
Fields not added to the template remain internal—they're visible and editable in the platform but not shown in the PDF. Useful for internal tags, notes, or tracking purposes.
How inactive or deleted fields behave
Inactive Fields:
If a field is marked as inactive:
It will not be removed from templates automatically.
In the template editor, it will be labeled as "Inactive", and you can manually remove it.
Invoices where the field already has a value will continue to display it.
Invoices without a value for that field will not show it.
Deleted Fields:
If a field is deleted:
It will be completely removed from all invoices, templates, and related configurations.
Invoice PDF Conditions:
Changes made to invoice or quote custom fields—whether in the Manage Fields section or within an invoice template—will only reflect on the invoice details page. These changes will not be automatically reflected on the invoice/quote PDF.
If you edit the Invoice/Quote PDF, then the changes will be reflected.
