Streamline your IT operations by automatically assigning assets to users based on their last login identity in Azure Active Directory (AD). This feature eliminates manual mapping, reduces errors, and ensures your asset inventory is always up-to-date by linking devices to the correct user in real time.
Prerequisites
Before enabling this feature, please ensure you have the following in place:
Active Azure AD Integration: Your SuperOps account must be connected to an active Azure AD integration. Only users synced through this integration are eligible for automatic assignment.
Device Profile Configuration: Assets must have an AD-configured user profile. The system uses the User Principal Name (UPN) to match users during login.
SuperOps Agent Installation: The SuperOps agent must be installed on the target device to track login activity.
How to configure auto-assignment
Follow these steps to set up and customize the auto-assignment rules for your assets.
Navigate to Settings from the left-hand menu, then find the Asset Management section and click on Auto Assign.
You will land on the Auto Assign configuration page, where all options are disabled by default.
Enable the Auto-Assign Assets using AD toggle. This activates the core feature, allowing SuperOps to assign assets based on the user's last AD login.
Next, you can enable the Override Manual configuration toggle. This option ensures that the system's auto-assignment logic will replace any existing manual assignments, keeping your asset data consistent.
To prevent specific devices like servers or shared workstations from being auto-assigned, you can enable Asset Exclusion rules. This will reveal option to create custom rules.
Click + Conditions to start building your exclusion rule.
Define the conditions for the assets you wish to exclude. For example, to exclude assets by name, select Name from the property dropdown, includes as the operator, and enter the asset name in the value field.
You can add multiple values to a single rule to exclude several assets at once. In this example, 'Winterfell Server' is also added to the exclusion list.
Once you have configured all your settings, click the Save button in the top-right corner to apply the changes.
Verifying auto-assignment
You can verify that assets are being assigned correctly by checking the activity logs. Navigate to an asset's summary page to view its history. The log will show events like 'Auto-assigned to [User] through an AD login', confirming the assignment. The exclusion rules you created will prevent this action for specified assets going forward.
Important notes
Auto-assignment will be skipped under the following circumstances:
The device matches a condition defined in your Asset Exclusion rules.
The 'Override Manual configuration' toggle is turned off, and the asset already has a manual assignment.
The user logging in does not have a matching profile in AD, or the AD integration is inactive.
